1. Accommodation Bookings
- The person booking must be over 21 and takes full responsibility for all party members.
- Photo ID (driving licence or passport) required on arrival for all guests; card pre-authorisation for extras will be taken. Banks can take up to 10 working days to release any unspent pre-authorised amount.
- A fee of £25 per night per booking applies to request a specific room or cottage; the fee is refunded if the requested room or cottage is unavailable.
- Rooms or cottages can be pre-booked for the night before at extra charge to guarantee early arrival.
- Hotel Check in to your hotel bedroom is from 3pm on the day of arrival.
- Cottage Check in to your cottage is from 4pm on the day of arrival.
- Guests may use the restaurants and lounges before check in. Please make yourself known to reception on arrival who are able to contact you once your bedroom or cottage becomes available.
- AquaClub access before check-in requires an early access pass (from £25 per booking); complimentary access begins upon check-in.
- Hotel Check out of your hotel bedroom is before 11am on the day of departure.
- Cottage Check out of your cottage is before 10am on the day of departure.
- AquaClub access after check-out requires a late access pass (from £25 per booking).
- Late Check outs may be arranged in writing, at an extra cost, shortly before arrival.
- Unauthorised late check outs will be charged for.
- There is no allowance for rooms or cottages not occupied, or for meals not taken.
- We reserve the right to charge your card on file at any point during your stay to cover any additional charges added to your bedroom or cottage bill, such as spa treatments, food and beverage, etc.
Standard Tariffs
A deposit equal to 50% of the stay is required to confirm a hotel or cottage reservation. For reservations made within 14 days of arrival, full payment will be taken before check in.
Hotel Stays
- For cancellations received more than 14 days before arrival: no liability; deposit returned less admin fee (from £35 per room). For cancellations received within 14 days of arrival: deposit retained; full cost may be charged if not fully re-sold. Non-arrival is treated as a cancellation.
- Travel insurance is strongly recommended.
- The final payment (full balance) of the stay will be taken on arrival if not already settled prior to arrival.
Cottage Stays
- For cancellations received more than three months prior to arrival: no liability; deposit returned less admin fee (from £35 per cottage). For cancellations received within three months of arrival: deposit retained; full cost may be charged if not fully re-let. Non-arrival is treated as a cancellation. Travel insurance is strongly recommended.
- The final payment (full balance) of the stay will be taken three months prior to arrival. The balance will be taken from the credit or debit card supplied; no reminder will be sent. Failure to comply will result in the cancellation of the holiday and forfeiture of the deposit and payment of full cancellation charges if the cottage is not fully re-let.
- The housekeeping team offer a daily light clean of bedrooms and bathrooms if left reasonably tidy.
- Barbeques are not permitted in the cottage outside areas due to the fire risk. Failure to comply will incur damage charges and risk of cancellation of the holiday.
- Cottages must be left tidy with the dishwasher running on departure; extra cleaning charges will be applied (from £75 per room) if these conditions are not met.
Promotional Offers and Discounted Stays
- Full payment is required at the time of booking.
- Bookings are non-refundable and non-transferable.
- Travel insurance is strongly recommended.
- Offers cannot be combined with one another.
- Standard tariff applies if other conditions are not fully met.
Festive Stays
(Between 23rd December and 2nd January)
- A deposit of £250 is required per room or cottage at the time of booking.
- A further 50% deposit of the total cost of the booking is required on 1st September.
- The final balance of the total cost of the booking is required on 1st November.
- For any bookings made on or after 1st September, 50% of the total cost is required to secure the booking when reserved.
- For any bookings made on or after 1st November, 100% of the total cost is required to secure the booking when reserved.
- From 1 September, deposits become non-refundable and non-transferable.
- For cancellations received before 1st September: no liability; deposit returned less admin fee (from £35 per room). For cancellations received after 1st September: deposit retained; full cost may be charged if not re-sold. Non-arrival treated as a cancellation. Travel insurance is strongly recommended.
- Date changes or shortening of the stay after 1 September treated as a cancellation. No allowance for missed meals or accommodation not occupied.
Third Party Bookings
- Please refer to their Terms and Conditions included at the time of booking. These will probably vary from ours depending on how you booked.
- For cancellations and amendments to third party bookings, please contact them directly.
Accommodation bookings made as part of a wedding, group or event.
- Please refer to the Terms and Conditions included in your contract at the time of booking.
Cancellation by The Headland
In the rare event that we need to cancel your booking, for example, due to circumstances beyond our control, or where a booking has been made at an obviously incorrect rate due to a pricing or system error, we will contact you as soon as possible. Where we are unable to offer suitable alternative dates or accommodation, any deposit or payment made will be refunded in full to the original payment method, normally within one working day. Your bank account can take up to 10 working days to release the refund, and unfortunately, we have no control over this. Our liability is limited to the amount you have paid to us. We reserve the right to refuse any booking.
2. The Headland Spa
(within the main building)
Opening Hours
- Leisure area and gym 9am–6pm
- Treatments 10am–5:30pm.
Access & Booking
- Adults only (aged 16+); children may use the AquaClub.
- Full payment is required at the time of booking. Voucher numbers must be provided at the time of booking and given to the Spa Reception on arrival.
- Please arrive at least 15 minutes before your treatment. Arriving late will shorten your treatment time; the full cost will still be charged.
- Male and female therapists available; preferences can be stated at the time of booking.
- No dogs are allowed, apart from assistance dogs.
Health & Safety
- A health questionnaire must be completed before treatments. Guests must disclose heart conditions, high/low blood pressure, cancer, pregnancy, physical ailments, or allergies at the time of booking. A doctor's note may be requested.
- Pregnant guests are advised not to use the sauna, steam room, touchless wave therapy bed or Rhassoul area. A range of treatments are available from day one of pregnancy.
- No use of facilities when under the influence of alcohol or drugs, or with contagious conditions, infectious skin conditions, open sores, or wounds.
- No running, jumping, or diving in the pool. Inflatables, snorkels, wetsuits, flippers and balls are prohibited.
- Suitable swimwear required. Remove jewellery before using wet facilities and the gym. Some costume fabrics may be bleached by pool chemicals — rinse immediately after use.
- Mobile phones are not permitted in the Spa, gym, relaxation lounge, or public spa areas.
- No outside food or drink permitted in the leisure area.
Cancellations
- Less than 48 hours' notice: full charge applies unless the time slot is resold, in which case a refund or transfer is available less an administration fee (from £5.00)
- More than 48 hours' notice: refund or transfer available less the administration fee. Refunds are made to the original payment card.
- A change of date within 48 hours is treated as a cancellation. Groups of four or more have separate terms — ask for details.
Facility Closures
- The Spa may close for maintenance, redecoration, or events. Notice will be displayed at the Spa Reception. No compensation will be offered during closures.
3. The AquaClub
Opening Hours
- 8am–8pm. The 25-metre pool may have reserved training times.
Health and Safety
- No lifeguard is on duty; guests swim at their own risk.
- Children under 16 must be supervised at a ratio of one adult to two children. Children who do not follow pool attendant instructions may be asked to leave.
- All swimmers under the age of 3, and those who are not fully potty trained of any age, must be wearing the double nappy system before entering the pools.
- Expectant mothers and children under 16 are advised not to use the Sunset Spa, Hydrotherapy pool, or Sauna. The Edge pool, 25m pool, and Splash pool are suitable.
- No outside food (with the exception of baby food) or drink.
- No glassware outside the designated area.
- No running, jumping, or diving in the pools. Inflatables, snorkels, wetsuits, surf boards, flippers, and balls are prohibited.
- Suitable swimwear required. Remove jewellery before using wet facilities. Some costume fabrics may be bleached by pool chemicals — rinse immediately after use.
- 20-minute maximum per session in the Sunset Spa, Vitality, and Hydrotherapy pools.
- No dogs are allowed in the AquaClub or The Deck restaurant, apart from assistance dogs.
Seasonal Variations
- Outdoor deck areas (Sunset Spa, Edge, and Vitality pools) are restricted during windy or inclement weather, which can occur at any time of year.
- November to Easter: the Edge Pool operates as an unheated plunge pool. Outside pools may close during severe winter weather but the hotel aims to keep them open for Christmas, New Year, and February half-term.

4. Restaurant Reservations
(RenMor and The Deck)
- To avoid ‘no shows’, we require all non-resident bookings to be guaranteed with your credit/debit card details which will be added securely to your booking.
- You will receive a reminder of your booking 48 hours before your visit.
- A no-show charge from £10 per person applies to restaurant reservations not cancelled in good time for us to re-let the table.
- Please let us know about any special dietary requirements so our chefs can plan any delete any specific arrangements. If you do not let us know in advance, we may not be able to accommodate all your special needs on the day or there will be a delay whilst we do so.
- If you wish to bring your own celebration cake to enjoy, we require you to sign an allergen waiver form and there will be a cake service charge from £25 to cover the service of your cake. Alternatively, our Pastry Chef can prepare a cake for you. Please order through reception@headlandhotel.co.ukand they can discuss the options starting from £35.
- On occasion, we may need to change the restaurant you have booked, and we would endeavour to contact you in advance to let you know.
- On arrival, please do not forget to personally log your car registration number at the reception desk.
- Please note that our dog-friendly areas of the hotel are RenMor, the lounges and of course the outside areas of our site as well as Fistral Beach. Dogs are unable to visit The Deck restaurants or the Spa and AquaClub, other than assistance dogs. Emotional support animals are not permitted in these areas. Well behaved dogs are welcome and paws on the floor at all times please!
- Credit/debit card information is required to confirm a reservation and by providing this you are entering into a contract and accepting our booking Terms and Conditions.
- We reserve the right to charge the card on file for any outstanding balance not settled upon departure of the restaurant.
- The person making the booking must be over 18 years of age and have the authority and responsibility to accept all the conditions on behalf of all party members.
- We reserve the right to refuse any booking, or entry on the day.
- The Ugly Butterfly is operated independently to The Headland Hotel and Spa. Please refer to their Terms and Conditions
5. Ocean Club Memberships
Application & Card
- To submit your application, please bring the completed form along with a valid passport or driving licence as proof of ID, showing your current permanent home address. Forms are available from the Spa or AquaClub reception team.
- A non-refundable joining fee applies, including when rejoining after a lapse in membership.
- Your membership card remains the property of The Headland. A £15 fee applies to replace a lost card, or for any card not returned when a membership expires.
- For health and safety reasons, members must sign in at the relevant reception desk every time they use the Spa or AquaClub facilities.
- Membership is non-transferable and non-refundable. If a card is found to be used by another person, the membership will be terminated immediately with no refund, and neither party will be re-admitted.
Duration & Fees
- Memberships are for a minimum term of 12 months. After the initial term, one month's written notice is required to cancel.
- Membership fees are payable in full upfront, or by monthly Direct Debit on the 1st of each month.
- A joint membership discount applies when two people at the same membership level pay together or via one Direct Debit. If one member cancels, the discount will be removed.
- When a membership expires, members are responsible for cancelling their own Direct Debit.
- Membership fees are reviewed annually on 1 April, with at least two months' notice given of any changes. Members joining mid-year will be charged a pro-rata rate for the remainder of the year.
Access & Conditions
- Members joining mid-year will be charged a pro-rata rate for the remainder of the year. Membership does not guarantee entry during peak periods or exclusive-use events.
- If facilities are unavailable for more than 48 hours due to exclusive use, the equivalent number of membership days will be carried forward.
- Membership will be terminated immediately without refund if the terms and conditions are violated.
- The hotel reserves the right to refuse any membership application.
6. Live, Love, Give (LLG) Loyalty Card
Eligibility & Application
- The hotel reserves the right to refuse any membership application.
- The LLG card is available to those who permanently reside in Cornwall with a PL or TR postcode.
- To apply, please complete the application form on our website.
- A member of our team will be in touch with successful applicants when their LLG card is ready to collect.
- Proof of ID and permanent Cornwall residency must be provided at the main hotel reception to complete your application and collect your card.
- Cards are valid for one year and will be renewed annually.
- The card is non-transferable and is for use by the cardholder only.
- A £15 fee applies to lost or unreturned cards.
- The hotel reserves the right to refuse any application.
Conditions of Use
- Please present your LLG card at the time of purchase; we are unable to redeem your benefits after a transaction has been completed.
- The LLG card does not guarantee entry during peak periods or when facilities are booked for exclusive use.
- LLG card benefits cannot be combined with any other discounted offer.
- The Headland reserves the right to withdraw benefits at any time without notice.
7. Gift Vouchers
- Gift vouchers are valid for 12 months from the date of purchase, unless otherwise stated.
- Vouchers cannot be redeemed within 24 hours of purchase.
- The full balance of your gift voucher must be used in a single visit — any remaining balance cannot be carried forward.
- Extensions can be purchased on selected vouchers.
- Discounted gift vouchers cannot be extended.
- Stay gift vouchers cannot be extended.
- Discounted vouchers have a fixed end date — please refer to your confirmation email for the exact expiry date.
- Gift vouchers are non-refundable, cannot be exchanged for cash, and are non-transferable, except where required by law.
- Gift vouchers cannot be used in conjunction with any other discounted or promotional offer.
- Your voucher must be presented at the time of booking and throughout the redemption period. Vouchers not presented will be considered null and void, with no entitlement to a refund or extension.
- Headland gift vouchers cannot be redeemed at Ugly Butterfly by Adam Handling, and vice versa.
8. Additional Notes
Guest conduct
- Guests and visitors must not be rude, excessive, or rowdy. Threatening, offensive, or illegal behaviour will not be tolerated.
- The lead booker is responsible for the behaviour of all members of their party. The hotel reserves the right to recover from the lead booker any discretionary compensation paid to other guests as a result of damage, disturbance, complaints, or room moves caused by their party, including the cost of relocating affected guests to alternative accommodation.
- Failure to comply with any conditions may result in immediate cancellation of the booking and the party being asked to leave. The full account will be due with no refund.
- The lead booker is responsible for all outstanding charges on the room or cottage account at the time of checkout, including any bills accrued by members of their party. Any damage to the hotel building, fixtures, fittings, or flood damage will be charged to the lead booker. The lead booker will also be liable for the cost of alternative accommodation for incoming guests should the hotel have to close the room or cottage as a result of damage caused during their stay.
Smoking & Vaping
- Smoking & Vaping: The hotel is strictly non-smoking. Smoking, vaping, or the use of electronic cigarettes is not permitted anywhere on the premises, including guest bedrooms and cottages, the grounds, the Spa, the AquaClub and all other areas.
- Cleaning Fees: Should this policy be disregarded, a deep cleaning charge of £200 per room will be applied to the guest's account.
- Additional Liability: In the event that a room or cottage cannot be re-let due to smoke odour, the guest will also be held liable for any loss of revenue or the cost of providing alternative accommodation for the incoming guest.
Dog-Friendly Policy
- Well-behaved, house-trained dogs with responsible owners are welcome in designated areas (maximum two per room) at a cost of £33 per dog per night, unless the dogs are specifically trained as assistance dogs.
- Regrettably, we cannot accommodate puppies under six months sold. Older puppies must be house trained.
- Dogs must be always kept on a lead in all public areas with paws on the floors.
- Guests will be charged for any damages incurred or extra deep cleaning required.
- Guests found smuggling dogs in to avoid charges will be charged double. Arriving with more than two dogs is a breach of contract and the hotel may cancel the booking immediately with no refund.
- Emotional Support Animals (ESAs) are not recognised as assistance dogs under UK law and do not confer the same legal right of entry to private premises. The hotel may, at its discretion, admit an ESA as a gesture of goodwill, but is not legally obliged to do so, and standard charges and policies apply.
- Breeds listed in the Dangerous Dogs Act 1991 are not allowed on the premises.
- The owner is responsible for the behaviour of the dog.
- The hotel reserves the right to refuse service to guests whose dogs show aggression or impacts the enjoyment of other guests.
General
- Only food and drink purchased from the hotel may be consumed in public areas and hotel grounds. The hotel reserves the right to remove any outside food or drink.
Parking
- Vehicles are parked at the owner's risk.
- The car park is monitored, it is the driver's responsibility to register their vehicle at Reception on arrival. The hotel accepts no liability for any fines issued.
Allergen Information
- Guests with allergies or dietary requirements are advised to exercise caution before consuming any food or drink in public areas, as cross-contamination with allergens cannot be ruled out. The hotel can advise on allergens deliberately present in its products; however, as the kitchen handles flour, eggs, milk, nuts, and other allergens, no product can be guaranteed allergen-free. Guests with allergies are responsible for their own care.
Accessibility
- Disabled parking bays, ramped access to the front door, a lift, and wheelchair-accessible rooms with walk-in showers and wide doors are available.
- Guests requiring assistance should contact the hotel prior to arrival to discuss their requirements.
Ongoing Maintenance
- Maintenance and improvements take place year-round. No compensation will be paid if a facility is unavailable, though a suitable alternative will be sought.
- Annual scaffolding is erected for weather-proofing and routine repairs. Unexpected storm damage may also result in visible works at any time.
- During quieter periods or when an event is taking place, only one restaurant may be available.
Liability
- In all cases except personal injury or death, the hotel's liability for all claims arising from a stay or visit is limited to the cost of the booking.
- Personal belongings are the responsibility of each guest; items of value may be left in the hotel safe at Reception with a receipt obtained. The hotel accepts no liability for loss or damage to property unless demonstrably due to its negligence.
- The hotel cannot be held responsible for failure of public services (water, gas, electricity etc) or for disturbances beyond its control.
- The 1956 Hotel Proprietors Act applies.
- Where any sum due to the hotel remains unpaid and recovery is pursued through the County Court, statutory interest will accrue on the outstanding debt under the Late Payment of Commercial Debts (Interest) Act 1998 or as awarded by the court. The hotel reserves the right to recover all reasonable costs incurred in pursuing the debt.
Prices, Privacy & Legal
- Prices are correct at the time of publication but may change without notice. Confirmed bookings will not be altered except to reflect changes in tax.
- Online published Terms & Conditions supersede any printed materials. E&OE.
- CCTV is in operation in public areas for security reasons. Calls are recorded for training and monitoring purposes.
- Press or blog reviews are not permitted without prior written consent from the PR department.
- The hotel reserves the right to refuse any booking or entry.
