Terms and conditions for bookings made for 2008

1. A deposit equal to the total cost of the first night's accommodation is required to confirm the booking. The hotel may require payment in full in advance, or on arrival. Cheques (personal or company) must be presented in good time for clearance, and will not, under any circumstances, be accepted on departure.

2. On arrival, a credit or debit card will be required and this card will be pre-authorised for the account, plus an estimated amount for extras such as meals, drinks etc. Any outstanding charges will be debited on departure. For guests without a card, cash will be required on arrival to cover all of the above.

3. Rooms may not be ready until 2.30pm on the day of arrival, but guests are welcome to arrive early (even for breakfast) and use the hotel facilities. On departure rooms must be vacated by 11am - late checkouts will be charged for. Guests are welcome to use the hotel all day though, and late checkouts may be arranged at an extra charge. This arrangement can only be made close to the date of the holiday and for quieter periods of the year.

4. Cancellations must be received in writing. For cancellations received more than two calendar months before arrival, no liability and the deposit will be returned less an administration fee (from £30 per room). For cancellations received less than two calendar months before arrival, the deposit will be returned (minus the administration fee) provided the accommodation is fully re-let. If the accommodation is not fully re-let, the charge is 80% of the total cost.

5. Holiday insurance is therefore very strongly advised. Please take out your own or use the hotel's indemnity scheme. (Please see conditions of The Headland Hotel Booking Indemnity.)

6. Small changes to minor detais of a confirmed reservation will incur a cost of not less than £10 per booking to cover administration costs.  The shortening, or cancelling and rebooking of a confirmed reservation within two months of arrival does not fall into this category, please see note 4 for details of changes.

7. Any special offers cannot be used in conjunction with any other offer, and if conditions are not fully met, then the standard tariff will apply.

8. Cars are parked at owners' risk.

9. Groups of single sex parties will not be accepted.

10. Maintenance, changes and improvements take place all year round, because the hotel no longer closes in the winter, except for a few days over Christmas. No compensation will be offered if a facility is not available, but we will endeavour to provide a suitable alternative. We may remove a little used facility and replace it with something more popular.

11. Please bring your own towels for the beach and the outdoor pool. The latter is heated from the end of May until early September.

12. Personal belongings are the responsibility of each member of the party, and items of value can be left in the hotel night safe. We accept no liability whatsoever for any accident, loss or damage to your property unless such loss is demonstrably due to our negligence. We cannot be held responsible for the failure of public services (e.g. water, gas, electricity etc.) or for any disturbance that is beyond our control. In all cases, except personal injury or death, our liability to you for the total of all claims arising out of your holiday with us, is limited to the cost of the booking.

13. Behaviour of guests and their visitors should not be excessive or rowdy, and must not cause annoyance, distress or embarrassment to fellow guests. We reserve the right to recover from the person making the booking any discretionary compensation payment, or discount, we may have to pay to any other guests, as a result of your actions, or a member of your party or visiting friends. This includes damage to hotel buildings, fixtures and fittings, and includes flood damage.

14. Failure to comply with any of the booking conditions may result in the party being asked to leave immediately, if at our sole discretion, we feel the conditions have been infringed. The account will be due in full and no refunds will be given in these circumstances.

15. The Storm Watching dinner is offered from Sunday to Thursday inclusive, subject to availability and has a maximum value of £25 per adult for food. No allowance will be made if dinner is not taken and this cannot be used in conjunction with any other offer. School holiday and half term periods are excluded.

16. Prices are correct at the time of publication, but may change without notice, with the exception of confirmed bookings (see note 7). Confirmed bookings will not alter other than to reflect any alterations in tax, E&OE.

17. The hotel reserves the right to refuse any booking. 

Conditions of Booking Indemnity

Payment of the indemnity fee within two days of receiving the booking form indemnifies each named person in respect of accommodation charges arising from the necessary cancellation or curtailment of a stay at the hotel as a result of:

1. Injury, illness or death of a member of the party, or a close family relation.
2. A member of the party being made redundant.
3. A member of the party being summoned for jury service.                              

Provided that any such reason for cancellation occurs after the hotel has received the fee. A medical certificate will be required, along with any relevant documentation.
